Privacy Policy — ChillBoss

Last updated: 3 November 2026

1. About this policy

SALEUP PTY LTD (ABN 74 642 236 511) ("we", "us") operates ChillBoss. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This policy explains what we collect, why, who we share it with, and how you can access or correct it.

ChillBossis used by businesses. In most cases the business is the one that decides what customer information is collected and why; we process it on the business's behalf. If you are a customer of a business that uses ChillBoss, please also check that business's own privacy policy.

2. What we collect

Business owners and staff (account holders):

  • name, email address, phone number and business details you give us at sign-up;
  • login and security information, and billing details (card payments are handled by our payment provider; we do not store full card numbers);
  • how you use the service (pages visited, features used, device and browser information, IP address) so we can run and improve it.

Business customer information we process on a business's behalf:

  • contact records the business uploads or collects (names, emails, phone numbers, notes, tags, booking history);
  • messages sent and received through the service (email, SMS, web chat) and campaign delivery and unsubscribe records;
  • call recordings and transcripts when the AI receptionist answers or places a call, and what the caller says;
  • reviews and feedback linked to the business.

We do not intentionally collect sensitive information (such as health information) but a business or caller may include it in notes, messages or calls. Businesses should only record what they need.

3. How we use information

  • to provide the service: bookings, the AI receptionist, messaging, CRM and reviews;
  • to create and secure accounts, bill for the service and give support;
  • to detect abuse and keep the service reliable and safe;
  • to improve the product, using aggregated or de-identified information where practical;
  • to meet legal obligations.

We do not sell personal information. We do not use business customer records to advertise to those individuals.

4. Who we share it with

We share information only as needed to run the service, with:

  • service providers such as cloud hosting, database, email and SMS delivery, telephony, payment processing and AI model providers, who may only use it to provide their service to us;
  • the business whose customer you are (they own and control their customer records);
  • professional advisers, or authorities where the law requires or allows it.

5. Disclosure overseas (APP 8)

Some of our providers store or process information outside Australia, most commonly in the United States. This can include cloud hosting, AI model providers used to understand and respond to calls and messages, and email and SMS delivery services. We take reasonable steps to make sure overseas providers handle personal information consistently with the APPs, for example through contractual terms and security commitments. Businesses using ChillBoss should let their own customers know about this where required.

6. Call recording and AI

Calls handled by the AI receptionist may be recorded and transcribed so the business can review them and so the service can work. Each business is responsible for notifying callers and obtaining any consent required in its state or territory. Where we can, the receptionist tells callers that it is an AI and that the call may be recorded.

7. Security and retention

We use access controls, encryption in transit and other reasonable safeguards. No system is perfectly secure. We keep information while an account is active and for a reasonable period afterwards (for example for billing, disputes and legal records), then delete or de-identify it. A business can ask us to delete its data when it closes its account.

8. Marketing messages

If you are an account holder, we may email you about the service; you can unsubscribe at any time. Messages sent by a business to its own customers through ChillBoss follow the Spam Act 2003 and include an unsubscribe option. Opt-out requests are recorded and honoured.

9. Access and correction

You can ask us for access to the personal information we hold about you, or ask us to correct it, by emailing hello@saleup.com.au. We will respond within a reasonable time (usually 30 days) and may need to verify your identity. If you are a customer of a business using ChillBoss, we may refer your request to that business, because it controls your record.

10. Complaints

If you think we have breached the APPs, contact us first at hello@saleup.com.au and we will investigate and reply. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (OAIC) at www.oaic.gov.au or on 1300 363 992.

11. Open source

ChillBoss is built on SeldonFrame, which is released under the GNU Affero General Public License v3.0 (AGPL-3.0). The source code of the version we run is available on request — contact us at the address above.

12. Changes to this policy

We may update this policy from time to time. The date at the top shows when it was last changed, and we will notify account holders of significant changes.
